ACCOUNT COORDINATOR

The Account Coordinator collaborates with team members to provide day-to-day project management and administration for assigned client project, including process fulfillment packets, record fulfillment inventory and is tasked with various duties as assigned. This position requires attention to detail and ability to follow processes. The Account Coordinator reports to the Director of Client Services.

Responsibilities:

  • Work with the Account Managers and Directors to ensure that all of the tasks and deliverables jointly agreed to with the Client, as specified on the Order Confirmation, are completed on-time, on-budget, striving at all times to exceed Client expectations.
  • Assist with the preparation of Estimates/Order confirmations for new and renewal projects.
  • Maintain and publish project management documentation (i.e. minutes, sample forms, work-orders) and manage Client files.
  • Manage monthly list orders for New Mover Programs both internally and with external vendors.
  • Maintain FMS database from new client set up to updating inventory and fulfillment details.
  • Track New Mover Program monthly process and provide Executive Summary of project status.
  • Process fulfillment packets in a timely manner, according to client specifications.
  • Track and record fulfillment inventory (labels, letterhead, postage, brochures, free offer items, etc.) used per client in the client’s fulfillment database.
  • Inventory client fulfillment materials quarterly and forward information to the Client Service Team.
  • Process letter/package shipping labels and postage for LionShare special mailings.
  • Participate in onboarding and annual HIPAA training on security policies and procedures.
  • Other work as assigned.

ACCOUNT MANAGER

The Account Manager will provide day-to-day account management for assigned clients. The Account Manager is the glue that holds account projects together and will have an intimate understanding of their client’s core business goals and initiatives, as well as ensure that a strong working relationship is established and maintained. The Account Manager will manage production traffic with internal team members and external vendor partners to guarantee that all client project deliverables, timelines and budgets are met. The Account Manager reports to the Director of Client Services.

Responsibilities:

  • Communicate directly with Account Director and/or client contacts to ensure all of the project deliverables are completed on time, on budget, striving at all times to exceed client expectations.
    • Campaign strategy
    • Initial count strategy, preliminary counts and subsequent revisions
    • Estimates and Order Confirmations, including revisions if required
    • Maintain and communicate project timelines
  • Work with internal SMART Team members to meet client deliverables.
    • Internal Work Requests – design, copy, HTML
    • Count and list requests
  • Outline criteria and submit all standard client reporting requests to the technical team. Final reports to be provided to the client with any key points derived from the reports.
  • Facilitate weekly client status calls.
  • Send out weekly client status update sheets.
  • Invoice clients upon project completion.
  • Participate in onboarding and annual HIPAA training on security policies and procedures.
  • Participate in team outings.

In addition to the functions of this role noted above, the Account Manager will assume the following responsibilities:

  • Train, coach and support new team members, focusing on their job responsibilities, performance expectations and position priorities.
  • Develop processes to create and maintain client service procedures and assist with audits as needed.

  • 3-5 years account management experience in a client facing role

DATA PROCESSOR

The Data Processor is responsible for coordinating the data processing activities and all of the tasks related to this function. This position requires analytical ability, great attention to detail and a methodical manner for following procedures. The Data Processor reports to the Director of DIATA Services.

Responsibilities:

  • Format and coordinate incoming data files according to guidelines.
  • Audit and reconcile data files and submit for processing.
  • Process database lists utilizing merge/purge software and data hygiene best practices.
  • Process and monitor system automated jobs.
  • Ensure the finished product is always of the highest quality.
  • Set up FTP/SFTP sites and upload/download data from these sites.
  • Update internal clients on deliverables, including delays, status and changes consistently.
  • Provide data processing support for various activities of the DIATA department.
  • Participate in onboarding and annual HIPAA training on security policies and procedures. This position will have access to ePHI.

Skills, experiences and qualifications required for the position:

  • Ability to determine priorities and provide pre and post production support
  • Proficiency on a variety of data processing software including Microsoft Office (e.g. Word, Excel and Access)
  • Knowledge of basic data processing concepts
  • Ability to adhere to detailed instructions
  • Strong proofreading skills
  • Ability to work in a fast paced environment with changing priorities
